Senior Executive Assistant (Legal)

The Sr. Executive Assistant will provide high-level support to the Chief Legal Officer of Bloomin’ Brands, also playing a key role in board support, internal communications and government affairs. This role goes beyond traditional administrative support, requiring a strategic thinker who can help streamline operations, draft high-quality communications, and identify opportunities for continuous improvement across the Legal, Communications, and Government Affairs functions.


This role requires a proactive, organized, and resourceful professional who thrives in a fast-paced environment and can manage multiple priorities with discretion, professionalism, and attention to detail. They will work independently with minimal supervision, possess strong written and verbal communication skills, and demonstrate adaptability in an evolving corporate environment.


**Please Note: This role is based in our Tampa, FL headquarters, with an expectation of regular on-site presence (up to five days per week).**


DUTIES & ESSENTIAL JOB FUNCTIONS:


Administrative & Department Support:

  • Manage the CLO’s 1:1 and departmental meeting agendas, including scheduling, preparation of materials, and tracking follow-up items.
  • Coordinate the CLO’s internal department meetings, team-building activities, and recognition programs.
  • Manage the CLO’s external meetings with business partners, stakeholders, and industry contacts, ensuring logistics, briefing materials, and follow-ups are handled seamlessly.
  • Track and support the CLO’s participation on external Boards, including scheduling, monitoring deadlines, compiling and distributing required materials, and maintaining accurate records.
  • Process legal and departmental bills by coding expenses to the correct G/L accounts and Internal Order numbers, submitting to Accounts Payable for processing, and maintaining complete invoice records.
  • Manage departmental expense reports and oversee budget tracking.
  • Manage travel arrangements and accommodations for the CLO.
  • Coordinate onboarding and set-up of new hires within the Legal department.
  • Maintain records, create filing systems, and manage department databases.
  • Oversee department supplies and act as the point of contact for ad-hoc administrative tasks.

Corporate Governance:

  • Serve as a liaison between the CLO and internal/external stakeholders, including high-level executives, the Board of Directors, and business partners.
  • Support the CLO in preparing presentations, reports, executive summaries, meeting materials, reports, and agendas.
  • Handle internal and external communications, including drafting, editing, and managing emails, memos, and correspondence on behalf of the executive.
  • Partner with the CEO’s Executive Assistant to plan and execute Board and Committee meetings, ensuring seamless logistics, agendas, and timelines.
  • Track and monitor key governance deadlines to ensure timely completion.
  • Prepare and distribute communications and materials, ensuring accuracy and discretion.
  • Maintain and update the Board Portal with the most current documents.
  • Safeguard confidential information by controlling access and ensuring only the appropriate individuals receive sensitive materials.
  • Manage invitations and calendar updates, ensuring the right participants are included in the correct sessions.
  • Provide timely communication so participants are fully prepared with the correct materials and details of when/where meetings will occur.
  • Update Board and Committee materials in SharePoint and Board Portals including Agendas, Minutes and Presentations.

Government Affairs Support:

  • Manage company memberships in industry associations, chambers of commerce, and other business or trade organizations.
  • Track organizational calendars and ensure the right company representatives are assigned to attend external meetings, events, and committee sessions.
  • Assist with tracking, preparation, and submission of PAC filings, ensuring compliance with all regulatory deadlines and requirements.
  • Maintain accurate records of PAC contributions and filings for reporting and audit purposes.
  • Monitor legislative, regulatory, and policy developments (local, state, federal, and industry-specific) that may impact the company’s business or strategic decisions (e.g., MAHA and similar associations).
  • Compile summaries and updates of government affairs activities for CLO and leadership review.
  • Maintain contact lists and act as a liaison with association and chamber representatives.
  • Track dues, membership renewals, and event registrations, coordinating payment and approvals as needed.
  • Support CLO in preparing talking points, briefing materials, or background research for external meetings or advocacy events.
  • Coordinate internal awareness of relevant government affairs issues by distributing updates and scheduling briefings with key employees.
  • Assist with planning and logistics for company participation in government affairs or public policy–related events, conferences, and roundtables.
  • Maintain accurate records of government affairs activity, including meeting notes, policy updates, and correspondence.

EXPERIENCE REQUIRED

  • 5+ years of executive-level administrative experience, ideally in a corporate or legal setting.
  • Experience in internal communications, process development, or corporate messaging is highly preferred.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Familiarity with Diligent Board Books, SharePoint, or other Board portal systems preferred.
  • Exceptional calendar management skills, with experience coordinating complex meetings.
  • Proven ability to write, edit, and manage professional communications.
  • Experience scheduling travel and processing expense reports.
  • Ability to prioritize and handle multiple tasks simultaneously in a deadline-driven environment.

EDUCATION

  • Associate or bachelor’s degree preferred, with a focus on Business Administration, Communications, or a related field.
