Job Description

The Legal Operations Coordinator will support the day-to-day activities and projects of the Legal Department with focus on optimizing the performance of data entry into, and reporting from, the Legal Department’s technology platforms. The Coordinator will identify and interpret information from multiple sources of internal data, act as a liaison with IT (and 3rd party platform licensors) for technical support, and participate in ad hoc projects as needed. This person will support the Legal Operations Supervisor in identifying and implementing improvement opportunities in the department’s processes and technology platforms, and will support staff-attorney needs with respect to reporting on platform metrics, creating meeting decks based on those metrics, and the like.


This role is based in our Tampa Restaurant Support Center and will work a hybrid schedule (three days/week onsite).


ESSENTIAL DUTIES


* Prepare and manage data analytics for various legal function teams

* Compile, review and distribute monthly, quarterly, and ad hoc reports to various business owners, including assembling new reports as identified by business needs

* Develop and improve key operational and substantive metrics to better inform data-driven decision-making

* Identify and implement legal department tools to streamline new or existing practices, as well as manage design, rollout, and training for new systems

* Partner with and learn from third-party legal technology vendors to optimize platform performance

* Prepare processes and policies for legal department technology and work management allowing continuous improvement and streamlining efficiencies and productivity

* Assist attorneys and management team with troubleshooting issues related to equipment and technology platforms

* Update and maintain GEMS entity management platform

* General understanding (for reporting and troubleshooting) of DocuSign Contract Lifecycle Management platform, Intellectual Property tracking platform and Licensing platform

* Responsible for intake processes such as service of process, investigation inquiries, distribution and circulation of mail and various legal documents

* Collaborate and build relationships with cross-functional teams including HR, accounting, business development, regulatory, IT, and finance, as well as various other business units

* Develop and prepare executive level PowerPoint presentations accurately depicting reported data

* Support staff attorneys with performance of administrative matters, as needed, including scanning/filing, calendaring, and scheduling


REQUIREMENTS


Education:


* College degree preferred


Experience/Skills:


* 1 to 3 years of experience with legal project operations and management in-house or at a law firm (both preferred)

* Prior experience developing and improving processes, policies and efficiencies

* Ability to independently move projects forward by gaining the support needed from others while working in a cross-functional role

* Collaboration with groups (e.g., finance, operations, HR, IT) to set objectives and produce meaningful results

* Experience in utilizing legal department technology solutions (e.g., GEMS, DocuSign CLM & e-signature, SharePoint)

* Excellent analytical, problem-solving, organizational and communication skills with a strong attention to detail

* Able to thrive in a fast-paced environment and successfully manage multiple deadlines

* Advanced proficiency in Microsoft Office: Word, SharePoint, Excel (including VLOOKUP, graphing and pivot tables), Outlook, PowerPoint, OneDrive, Teams

* Ability to handle sensitive/confidential information with discretion

* Essential characteristics include analytical skills, attention to detail, ability to multi-task, and willingness to learn and take on unfamiliar projects
