Leave of Absence & ADA Specialist
The Leave of Absence (LOA) & ADA Specialist is responsible for administering and managing all aspects of employee leave programs and workplace accommodations. This role ensures compliance with federal, state, and local laws, including the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), and applicable state leave regulations. The Specialist serves as a key point of contact for employees and managers, providing guidance throughout the leave and interactive process while maintaining accurate documentation and timely communication.
RESPONSIBILITIES
- Administer end-to-end leave of absence programs, including FMLA, state/local leaves, personal leaves, military leave, and other statutory or company-provided leave programs.
- Manage the ADA interactive process, including reviewing medical documentation, engaging in discussions with employees and managers, and evaluating reasonable accommodation options.
- Track and document leave and accommodation cases in Workday (or similar HRIS), ensuring accurate recordkeeping and compliance.
- Provide guidance and training to managers on leave laws, accommodation obligations, and company policies.
- Partner with HR, Legal, Payroll, and Benefits to ensure proper coordination of pay, benefits continuation, and return-to-work processes.
- Monitor leave durations, intermittent usage, and required certifications to ensure timely follow-up and designation.
- Maintain confidentiality and handle sensitive medical and employee information appropriately.
- Stay current on federal, state, and local regulatory changes impacting leave and accommodations.
REQUIRED SKILLS
- 3–5+ years of experience administering leave of absence programs and/or ADA accommodations.
- Strong working knowledge of FMLA, ADA, and multi-state leave laws.
- Experience managing the interactive accommodation process.
- Experience with Workday (strongly preferred) or similar HRIS leave management systems.
- Proficiency with Microsoft Office suite and intermediate Excel skills required
- Self-motivated and able to work independently in a fast-paced environment
- Strong organizational skills and ability to manage multiple cases simultaneously.
- Excellent written and verbal communication skills with the ability to navigate sensitive employee matters.
- Ability to exercise sound judgment and apply policies consistently and fairly.
- Bachelor’s degree in Human Resources, Business, or related field preferred (or equivalent experience).
PREFERRED SKILLS
- Experience in a multi-state environment.
- HR certification (e.g., SHRM-CP, PHR).
