Job Description

The Director, Lease Administration is an integral part of the Real Estate Asset Management team. This critical position leads and provides strategic direction and oversight for all functions of Lease Administration for the entire BBI portfolio. This position interfaces with multiple cross-functional teams within the organization to determine risks and opportunities and to align on common goals, as well as oversees the day-to-day activities of the Lease Administration teams.


The Director thrives in a fast-paced environment while working collaboratively within and leading a team. The Director uses high-level leadership skills and strong financial/accounting acumen, while maintaining and growing their subject matter expertise in the areas of retail lease portfolio administration and database management.


This role is based in our Tampa Restaurant Support Center, and candidates should be local to the Tampa Bay area, or willing to relocate within 60 days.


ESSENTIAL DUTIES

* Serve as the main point of contact and central resource for all lease administration, including rent management, lease audit and database management matters with specific focus on ensuring compliance with all lease requirements and financial obligations.

* Lead and manage a dynamic team of Lease Administration and property professionals.

* Ensure BBI Rent compliance in accordance with leases and internal audit controls, including supervision of monthly rent and rent related lease expense adjustments and monthly variance reporting

* Manage all aspects of the Lucernex database system, including maintaining compliance with all internal audit controls; system accuracy, required system updates/release testing and integrations with other BBI systems

* Partner with accounting teams as it relates to vendor management, including updates and maintenance, new vendor setup processes, and coordinates efforts with technical accounting communicating re-statement events for ASC842 and IFRS16 reporting schedules.

* Establish and maintain processes to ensure accurate data and reporting standards are met and maintain support standards for finance, lease accounting and analytics to support BBI strategies and goals

* Ensure timely preparation of tenant improvement allowance packages and monitor prompt collection or identify potential dispute challenges

* Manage Estoppels and Subordination Non-Disturbance and Attornment’s (SNDA) in compliance with established BBI processes

* Manage subleases, third-party billing, and performs association management responsibilities

* Partner with leadership on Disposition Management

* Develop robust metrics and reporting tools to set guidelines and minimize risk and exposure

* Interpret complex lease language relating to occupancy cost audit rights and formulate compelling arguments advancing BBI’s right to make payment recoveries to meet annual financial savings targets

* Review drafts of new leases, amendments, assignments, terminations, and various other lease documents to ensure documentation accurately reflects negotiated deal terms and reflect BBI standards

* Maintain reports and track pivotal lease dates that require action such as rent commencement, renewal notices, remodel requirements, terminations, lease expirations and more

* Provide direction on lease interpretation, including rent and property issues, commencement/ timing concerns, key dates, co-tenancy, and other related lease provisions

* Provide support for training and development initiatives for Real Estate, Lease Accounting, and Finance


REQUIREMENTS

Education:

* Bachelor's degree in Real Estate, Accounting, Finance, or equivalent required.


Experience/Skills:

* 7+ years’ experience in Lease Administration required, preferably 10+ and in an organization with a large, multi-jurisdictional real estate portfolio.

* 4+ years’ experience of managerial responsibility preferably with a minimum of 10 team members

* High level of technical skill and extensive knowledge of lease administration software technology platforms such as Lucernex, as well as proficiency in the Microsoft Office Suite (i.e., Excel, Outlook, Word, Teams, and PowerPoint)

* In depth knowledge of all Real Estate Functions, including accounting systems, and lease accounting treatments of real estate related scenarios.

* Must be intuitive to appropriately assess and analyze risk, with strong problem solving and analytical skills to develop action plans to mitigate adverse impact to BBI

* Ability to independently examine/interpret Real Estate Contracts and Leases with strong attention to detail

* Experience with SAP, preferred

* Excellent written and oral communication skills including presentations to executive leadership, employee groups and restaurant operation teams

* Ability to successfully multi-task, meet deadlines, and work well under pressure in a fast-paced environment

* Strong time management skills, the ability to work independently, and self-manage

* Self- starter with high degree of initiative, urgency, follow-through, and ability to adapt and interact professionally with all levels of management
